Atualmente, vivemos numa Era Informacional em que a informação tem um papel extremamente importante, em parte porque comunicamos cada vez mais graças à grande quantidade de plataformas digitais que encontramos à nossa disposição. Na verdade, a sociedade comunica mais por estas plataformas, do que pessoalmente.
Esta situação verifica-se de modo muito claro nas organizações, isto porque, na maior parte das vezes, o primeiro contacto, entre uma instituição e um possível futuro cliente/utente, é feito à distância. Para o efeito, existem numerosas ferramentas de comunicação, nomeadamente o telefone, o email ou as redes sociais.
O email, objeto de estudo do presente trabalho, tornou-se uma ferramenta indispensável ao sucesso das organizações, por ser uma das principais ferramentas de comunicação, tanto externa como internamente.
Contudo, esta ferramenta de comunicação não traz apenas benefícios com o seu uso mas, também, revela alguns problemas devido ao uso que os seus utilizadores lhe dão. Como em todas as ferramentas que temos à nossa disposição, acabamos por lhe dar outro uso para além daquele para que foi concebido. Assim sendo, os seus utilizadores começaram a usar o email como uma forma de armazenamento de informação.
Neste contexto, o grande objetivo deste estudo é tentar perceber de que forma o email apoia o desempenho diário de uma organização e, também, perceber se o email é usado apenas como uma ferramenta de comunicação ou também de armazenamento, considerando aspetos de sobrecarga informacional.
Assim, tentaremos compreender e analisar qual o uso dado a esta ferramenta e quais as boas práticas e a relevância desse uso. Desta forma, será então feito um estudo de caso numa unidade de I&D, o i3S, e recorrer-se-á a um questionário aplicado aos seus colaboradores, para a obtenção de resultados.
Currently, we live in an Information Age in which information plays an extremely important role. This is partly because we are communicating more and more thanks to the large number of digital platforms that we find at our disposal. In fact, today, society communicates more on these platforms than in person. This situation is very clear in organizations, because, most of the time, the first contact, between a business institution and a possible future customer / user, is made at a distance. That said, it should be noted that for this purpose, there are several numerous communication tools, as mentioned above, some of which are namely the telephone, email and / or social networks. Email, the object of study in this paper, has become an indispensable tool for the success of organizations, as it is one of the main communication tools, both externally and internally. However, this communication tool does not only bring benefits with its use, as it also reveals some problems due to the use that its users give it. In reality, as with all the tools we have at our disposal, we ended up giving it another use in addition to the one for which it was designed. Therefore, its users started using email as a way of information storage. Thus, the main objective of this study is to try to understand how email supports the daily performance of an organization and also to understand whether email is used only as a communication or storage tool, considering aspects of information overload. Thus, we will try to understand and analyze what is the use given to this tool and what are the good practices and the relevance of that use. In this way, a case study will be carried out in an R&D unit, the i3S, and a questionnaire applied to its employees will be used to obtain results.
